Background/Introduction:

 

The goal of the project was to create a “Smart Government” model within the Ministry of Information and Communications and thereafter deployed in all other Government Agencies. This was done through facilitating communication and collaboration among the various departments under the ministry and providing applications to manage certain processes in the organization in an efficient manner.

 

Within the scope of this overall goal the project pursued the following major components:

 

§         Improve the internal communications through the use of Information and Communication Technology tools, thereby enhancing communications between Departments within the Ministry;

§         Automate workflow of official forms, thereby improving the transparency and efficiency of the system; and

§         Improve the management f documentations through converting files to softcopies, thereby increasing ease and security of documents.

 

To achieve the objectives, the project concentrated on the following main group of activities:

 

  • Analysis and documentation of required information flows within the Ministry;

  • Hire the services of a consultant for Lotus Domino and Notes;

  • Purchase of required Hardware and Software; and

  • Promote the ‘Smart Government’ replicable model government-wide.

 

 Achievements:
 

  • Established necessary hardware and software for developing e-governance applications, including applications for document management; and

  • Increased effectiveness and efficiency of online communications between departments within the MoIC through the provision of hardware and consultancy requirements.
